Guest Numbers
Only the maximum number of guests, specified per room on the booking page, are permitted to stay overnight.
Rates
Rates are quoted in New Zealand dollars.
Deposit & Cancellation Policy
To confirm and secure a venue date, a completed booking form and 10% non-refundable deposit are required. A grace period of 10 days will be given from the time of the reservation until both the completed booking form and deposit are received. We will confirm by email once both have been received. Meadowood reserves the right to accept bookings from other clients after this grace period, should the deposit and documentation not be received.
Meadowood reserves the right to cancel any event, at any time, for such circumstances where it is deemed necessary and within reason. For example, where the reputation of Meadowood could be prejudiced, or where guests in attendance are deemed to be behaving in a manner detrimental, offensive, or contrary to normal expected standards of behaviour. Gang patches and insignia are strictly prohibited.
For Weddings: A payment of 40% of the package price must be paid three months in advance of your event. You’ll receive an invoice nearer to the time. Should you cancel your event within three months of the booked date, we reserve the right to retain this payment in full. The balance of your package cost, plus any additional accommodation costs, must be paid at least one week prior to your arrival. We reserve the right to invoice 100% of the package cost should you cancel within one month of the event date. All cancellations must be made in writing.

Wedding Check-out
Check-out time is midday unless a late check-out time has been agreed with management in advance. This allows the property to be properly prepared for the next guests.
Cleaning
General cleaning charges for the property are included in the venue hire. We do ask that the property be left in a respectable condition. If the property is left in an unacceptable state, we reserve the right to charge for extra cleaning at $50.00 an hour.
Please ensure that all suppliers, including your caterer, understand they are responsible for cleaning up their produce and refuse. Similarly, all recycling generated must be sorted in the provided crates for us to dispose of.
Damage to the Property
The guest agrees to take responsibility for any breakages, damage, theft or loss caused by guests, and agrees to cover costs for repair or replacement of property (including the Premier Loos amenity block). Meadowood reserves the right to on-charge any costs incurred, caused by negligence or inappropriate behaviour. Meadowood does not accept any liability for damage to, loss or theft of, any property left before, during or after your event.
Candles
Please note that we absolutely don’t allow taper or long candles. All candles must be contained inside glass (or other) candle holders.
Furniture Hire
We supply furniture (included in the event package price). We do understand you may hire in other/additional furniture and items for your event. Any kit brought onto the property must be removed from the property by 12.00pm the day following your event.
Suppliers
Meadowood will share with you a list of Preferred Suppliers. Please note that this list is not finite, nor are you obliged to use any of these suppliers. However, they are suppliers that have worked with Meadowood before and are familiar with the property, so we do advise that you work with this list where possible.
All suppliers coming onto the Meadowood property do so at their own risk and are entirely responsible for the maintenance and security of their belongings and kit while they are on site. Please ensure that your suppliers are made aware of this.
Venue Hours, Noise Control & Disturbance
Hastings District Council requires that ALL music must be stopped by 11.30pm, with non-staying guests departing the property by midnight. We are subject to fines if these conditions are not adhered to, and we reserve the right to on-charge any fines should they be incurred. Any disturbances to neighbours, including excessive noise, is prohibited.
Non-sanctioned Events
It is strictly prohibited to use the property for a party, event or function without an event booking contract. Should the property be used for any event other than that for which it is booked, the guests involved will be charged extra fees to cover additional wear and tear on the property, cleaning, garbage removal, garden repair, etc.
Exclusivity
The property and facilities are available for guests’ use only.
Smoking
Smoking is not permitted inside or within 10 metres of the house, tents, Speakeasy, or any other building. There are three designated smoking areas. You will find these located by - Speakeasy, the toilet block, and at the gate in the parking area. Please dispose of all cigarette butts in the sand buckets provided.
Privacy Statement
